Refund & Cancellation Policy

General Policy

This policy applies to all services provided by Kiwi Homestay Community.

All cancellation or refund requests must be submitted in writing via
nzstudyguider@gmail.com

Approved refunds will be processed to the original payment method within 10 business days.

An administration fee of NZD $20 applies to most cancellations, except where otherwise stated or where required by law.

If we cancel a service or are unable to provide the service due to our own fault, a full refund will be issued with no administration fee.

Service-specific rules are outlined below.

Schedule A – Homestay Placement

 

1. Application & Placement Fees

  • Application Fee (NZD $100) - Non-refundable, except where required by law.

  • Placement Fee (NZD $350) - Non-refundable once the placement has been confirmed and services have commenced, except where required by law.

2. Homestay Fees (First 4 Weeks)

  • Cancellation more than 2 weeks before the start date

→ 100% refund, minus NZD $20 administration fee

  • Cancellation 1–2 weeks before the start date

→ 75% refund, minus NZD $20 administration fee

  • Cancellation less than 1 week before the start date

→ 50% refund, minus NZD $20 administration fee

  • Cancellation on or after the start date

→ No refund applies for the first four weeks

3. After the Initial 4 Weeks

  • A minimum notice period of 2 weeks applies for ending or changing a homestay.

  • Transfers arranged by us will incur a NZD $150 transfer administration fee.

4. Absences & Holidays

  • Short-term absences: No refund or fee reduction applies.

  • Extended absences (2 weeks or more):

A Holiday Hold Rate of 50% of the weekly homestay fee may apply if the student wishes to retain their room.

 

5. Our Obligations

If we are unable to provide a homestay placement after receiving payment, all fees (excluding the application fee) will be refunded in full.

Schedule B – Police Check Support

1. Before Submission

If you cancel before the application is submitted to the relevant authority, a refund will be issued minus a NZD $20 administration fee.

2. After Submission

Once the application has been submitted to New Zealand Police or Australian Police, fees are non-refundable, except where required by law.

3. If We Are at Fault

If we are unable to process your application due to our own error, a full refund of all amounts paid will be issued (no administration fee charged).

4. Additional Charges & Resubmissions

If resubmission is required due to inaccurate or incomplete information provided by the applicant:

  • Authority re-submission fee: charged at actual cost by the relevant authority

  • Administration fee: NZD $20 per resubmission
